Parent and Student Handbook 2026-27

Safeguarding and school policies

How we keep children safe, online and in class, and the standards every family agrees to. These policies apply to every enrolled family from 7 September 2026.

  • Every child is an amanahConcerns go straight to our safeguarding team, and are handled with care and discretion.
  • Parental controls are mandatoryEvery family confirms age-appropriate controls on the devices used for learning.
  • Fees are non-refundableOnce a payment is processed it is not refunded, except in exceptional circumstances.

Safeguarding and child protection

Safeguarding children is an amanah shared by families and the Academy. Students, parents and staff report concerns promptly through the designated safeguarding route. We respond with care and discretion, but we cannot promise absolute confidentiality where information must be shared to protect a child or another person.

How we keep every child safe online

  • Passwords, lesson links, personal contact details, photographs and private information are never shared without permission.
  • Students never privately message teachers or staff outside approved Academy systems.
  • Bullying, cyberbullying, harassment, grooming, threats, sexualised content, hateful language and mocking are not allowed.
  • Students must not create or join unsupervised meetings using Academy contacts, links or platforms.
  • Phone numbers, addresses and social media accounts are never shared in lessons. Parents who want their children to stay in touch ask Admin, and details are exchanged only with both parents’ consent.
  • Parents remain responsible for supervising contact and activity outside Academy-controlled spaces.

When a serious concern is raised

The Academy may preserve relevant records, restrict communication or platform access, remove a participant from a session, contact parents, carry out an internal review or make an external referral. These measures are protective, and do not by themselves establish guilt.

Enrolled families receive the safeguarding contact and the reporting steps in the Parent and Student Handbook.

Digital safeguarding

Parental controls are mandatory. Every family confirms that suitable parental controls and content restrictions are in place on the devices used for Academy learning. The confirmation is completed once you have registered.

Every child entrusted to us is an amanah. Our responsibility extends beyond academic learning; we want to work alongside parents in nurturing and protecting our children’s eeman, character and well-being.

What to set up

  • Age-appropriate content filtering, safe search and app controls.
  • Gaming, entertainment, social media and unrelated websites restricted during Academy hours.
  • Administrator passwords protected, and unauthorised app installs or purchases blocked.
  • Controls reviewed as your child’s age, device and online risks change.
  • Open, Islamically grounded conversations about haya, digital choices, privacy, accountability and asking for help.

Any provider is fine: the device’s own controls, router filtering, supervised access or a suitable third-party tool. Lessons run on Zoom, Classkick and our learning platform.

Cameras, recordings and privacy

Cameras help teachers see that a child is engaged and respond to their understanding. Privacy is protected at every step.

Cameras

Cameras stay on during live lessons, unless an exemption or adjustment has been agreed, for example for unstable internet, sensory or medical needs, anxiety, privacy or safety. An approved exemption is never treated as misconduct.

Recordings

Lessons may be recorded for learning continuity, quality and safeguarding. Recordings focus on the teacher’s audio and the shared lesson, and never include student camera feeds. They help with catching up, but do not replace live attendance.

Privacy

Parents and students must not record, screenshot, publish or share lessons, participants, links or materials without written permission. Using a child’s image, name or work in marketing needs separate consent.

Conduct, dress and behaviour

Clear boundaries with rahmah, justice and the chance to make amends. Students are never permanently labelled by a stage.

  • Islamic greetings, polite speech, and no mocking of accents, appearance, ability or mistakes.
  • Clean, modest clothing. From Year 3, girls on camera observe hijab and appropriate Islamic dress, or ask for a camera-off arrangement.
  • Pyjamas, sleepwear, hair rollers and heavy make-up are not for live lessons.

Attendance, learning and support

Attendance

  • Join before the start and stay until the teacher ends the lesson.
  • Joining more than 10 minutes late may be recorded as absent for that lesson.
  • Report an absence through the designated route, ideally before lessons begin.
  • If salah regularly overlaps a lesson, tell Admin, and your child may step out and rejoin.

Honest work and AI

  • Work must be the student’s own, unless the teacher allows collaboration.
  • AI tools may be used only when the teacher allows them for a specific task, and AI work is never presented as the student’s own.
  • Parents support routines, but never complete work or help during assessments.

Wellbeing and SEND

  • Please share any SEND, medical, sensory or wellbeing needs with the Admin Team, at enrolment or as soon as they are known.
  • Adjustments may include processing time, visual prompts, movement breaks, alternative participation or modified deadlines.
  • We are not a specialist SEND provision, and we say so openly and early if a child needs more support than an online class can give.

Fees and refunds

Fees are non-refundable once processed. In exceptional circumstances the Academy may offer a full or partial refund, credit or transfer. Each request is considered individually and confirmed in writing.
